n8n vs Zapier for B2B companies
Two popular ways to automate your business. A practical comparison of cost, control, complexity and who should maintain each one.
Zapier and n8n both connect your tools and automate work between them. Both are good. They’re built for different situations, though, and choosing the wrong one tends to show up later as a surprise bill or a workflow nobody can fix. Here’s how we decide for our clients.
The short answer
- Choose Zapier when your workflows are simple, low to medium volume, and you want non-technical people to build and edit them.
- Choose n8n when workflows are complex or high volume, you want to run them on your own servers, or you need custom code and AI steps inside them.
Plenty of companies use both: Zapier for quick team automations, n8n for the core business processes.
How they differ
Who builds and maintains it
Zapier is built for everyone. Its editor is simple and linear, and most people can build a two-step automation in minutes.
n8n is built for technical users. Its visual editor handles branches, loops and error paths, and you can drop into JavaScript or Python whenever a no-code step isn’t enough. That power comes with a steeper learning curve.
How you pay
Zapier pricing is based on tasks: roughly, each action a workflow performs. Costs grow with every step and every run, which adds up fast for workflows that touch many records.
n8n can be self-hosted, so you pay for your own server. Its cloud plans are based on workflow executions, not individual steps. For long, multi-step workflows at volume, that difference can be large.
Pricing changes often, so check both vendors’ current plans before deciding.
Where your data goes
With Zapier, your data passes through Zapier’s cloud.
With n8n, you can run everything on your own infrastructure, which helps when security reviews, data residency or GDPR questions come up.
Integrations
Zapier has the larger catalogue of ready-made app integrations. If you rely on many niche SaaS tools, that matters.
n8n has fewer built-in integrations, but a generic HTTP step and code nodes mean it can talk to almost any API. The trade-off is that someone needs to know how.
Complex logic and AI
n8n handles branching, looping over large lists, merging data from several sources and retrying failed steps well. It also has strong building blocks for AI agents and language model steps.
Zapier supports paths, filters and AI steps too, but complex logic gets harder to read and more expensive as it grows.
A simple decision checklist
Answer these four questions:
- Will non-technical people edit these workflows? If yes, lean Zapier.
- Will a workflow run thousands of times a day, or loop over large lists? If yes, lean n8n.
- Must the data stay on your own servers? If yes, choose n8n self-hosted.
- Do you need custom code or AI agents inside the workflow? If yes, lean n8n.
What we usually recommend
For B2B companies building revenue systems (enrichment, scoring, routing, CRM sync), we usually choose n8n for the core pipelines because of volume, cost and control. We keep Zapier or Make for small automations that the business team wants to own themselves.
Whichever you choose, the same rules apply: document every workflow, add alerts for failures, and give each automation a clear owner.
